This policy covers SEO Navigator Automation, the internal console SEO Navigator staff use to run its SEO and ads automation tools, including the outreach tool that sends and tracks backlink-outreach email campaigns from the agency's own Google Workspace mailboxes.
What we ask Google for
When an SEO Navigator staff member connects a mailbox, Google asks them to approve these scopes:
gmail.send- send the outreach emails that staff compose and approve.gmail.readonly- read back the messages in a thread the tool sent, so a reply, a bounce or an opt-out request is recognised.openid,email- identify which mailbox connected, so the tool shows who is sending.
What we store
- The Google refresh token for the connected mailbox, encrypted at rest, so the tool can keep sending without asking the mailbox owner to sign in again.
- The subject and body of outreach emails staff send through the tool.
- A short snippet (up to 280 characters) of an incoming reply, bounce or opt-out message in a thread the tool started, kept only to show staff that a reply arrived and to detect an opt-out phrase.
- The connected mailbox's email address and the name of the staff member who connected it.
We do not read or store mail outside the threads this tool itself started, and we do not request access to any other Google product or data.
Google API Services User Data Policy
SEO Navigator Automation's use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements. Data obtained through these scopes is used only to provide and improve this outreach tool for SEO Navigator's own staff; it is never sold, and it is never shared with or transferred to any other person or company, except where required to provide the tool's own functioning (for example, our hosting provider, Cloudflare, which stores the encrypted data on our behalf) or where required by law.
Retention and deletion
A connected mailbox's token and campaign records are kept for as long as the campaign they belong to is active or useful to review. A staff member can disconnect a mailbox at any time, which stops the tool from sending or reading further; to have a mailbox's token, messages or campaign records deleted sooner, contact us below.
Who can use this tool
This is an internal tool. Only SEO Navigator staff sign in, and only SEO Navigator's own Workspace mailboxes are connected to it.
